The essentials of ScolaSign digital attendance: audit-ready evidence, legal value, attendance methods, data hosting.
Digital attendance replaces the paper sign-in sheet with a time-stamped electronic signature. In practice, the learner confirms their attendance from their phone or a badge, in a few seconds, at the start of the session; the attendance sheet builds itself, with no printing, no paper passed around and no re-keying. Each signature carries a time stamp and is linked to an identified session, trainer and learner: that is what makes it usable proof of attendance. With ScolaSign, learners sign in with a dynamic QR code displayed in the room, a secure email link or an NFC tag in the room, and sheets can be exported as PDF, Excel or CSV, by session, by group or by learner, for your audits and your funders.
ScolaSign was built to meet some of the strictest attendance-evidence requirements in Europe: France's Qualiopi quality certification and the audits of French public training funders. Those rules apply only in France, but the same rigour serves training centres and schools everywhere. Every attendance record is time-stamped, named and linked to an identified course (organisation, title, dates, trainer). When a client, funder, accreditation body or inspector asks for proof, you export the attendance sheets by session, by group or by learner in a few clicks, as PDF, Excel or CSV. Late arrivals, absences and absence notes are recorded in the same place, which avoids a scramble for evidence the day before an inspection.
Signatures are time-stamped and kept as evidence, within the framework of the European eIDAS Regulation (Article 25): an electronic signature cannot be denied legal effect solely because it is in electronic form. In other words, an electronically signed attendance sheet can be used just like a paper one to show attendance at training to funders and auditors. ScolaSign strengthens this evidential value by time-stamping every signature, recording who actually signed (the trainer signs in before attendance opens to learners) and keeping the records. PDF exports retain all of this information.
ScolaSign offers three complementary methods, chosen session by session according to the situation. The dynamic QR code: the trainer projects a code renewed automatically every 5 seconds, each learner scans it and signs; a screenshot sent to an absent learner has expired before it arrives. The secure single-use email link: ideal for remote training, the learner signs from their inbox, on phone or computer. The NFC tag: each room is fitted with one and the learner holds their phone to it, a simple contactless gesture with no equipment to hand out. Nothing forces you to choose a single method: all of them feed the same time-stamped attendance sheet.
For remote training, the learner receives a secure single-use email link and signs from their phone or computer, with nothing to install. Attendance is recorded and time-stamped exactly as in person, and feeds the same audit-ready attendance sheet. The trainer sees in real time who has signed and can remind latecomers. This method covers virtual classes, one-to-one tutoring and blended sessions, and combines freely with the dynamic QR code for learners in the room. PDF, Excel and CSV exports are the same whatever the format.
In France, within the European Union, and it is processed in line with the GDPR: exchanges are encrypted (HTTPS/TLS), access is limited to authorised staff at your organisation, and no data is sold or passed to third parties for commercial purposes. Learners, some of whom are minors, see no advertising and are not subject to any commercial profiling. You stay in control of your learners' data: it is kept for as long as your legal obligations as a training provider require, then deleted, and everyone can exercise their rights (access, rectification, erasure) with your organisation or by writing to contact@scolasign.fr. Details are in our privacy policy.
Yes, from the small training provider to the large apprenticeship training centre. Plans follow your number of learners: Essential at €79 excl. VAT per month up to 80 learners, Pro at €149 excl. VAT per month up to 250, Institution at €299 excl. VAT per month up to 800, and an Enterprise plan on quotation beyond that. The free trial lasts 14 days, with no credit card, and annual payment gives two months free. Multi-site organisations manage several sites from the same console, with attendance sheets and statistics by site.
On Android, the ScolaSign app can be downloaded free of charge from Google Play. On iPhone, it is installed from the browser: open your organisation's address in Safari, tap the Share button, then "Add to Home Screen"; an App Store version is in preparation. In both cases, you log in with the credentials provided by your training organisation: the app does not let you create an account. It is intended for learners and their parents or guardians; trainers and admin staff use the web console from a browser, with nothing to install.
The ScolaSign interface is being translated into English. Contact us to find out when it will be available for your centre.
